Overview
These Terms & Conditions apply to all catering, decor, buffet setup, event management, corporate catering, school functions, weddings, private events, BBQ events, hi-tea services, lunch boxes, and related services provided by Capital Caterers & Decorators.
By booking our services, requesting a quotation, making an advance payment, or confirming an event, you agree to the terms mentioned on this page.
Please read these terms carefully before confirming your booking.
Booking & Confirmation
All bookings are confirmed only after advance payment and written confirmation from Capital Caterers & Decorators.
A booking inquiry, menu discussion, phone call, WhatsApp message, or quotation request does not confirm your event unless the advance payment has been received and accepted.
Once the booking is confirmed, your event date, menu, staff, setup, and related arrangements will be planned according to the agreed details.
Advance Payment
An advance payment is required to reserve your event date and begin preparation.
The advance amount may vary depending on the event type, guest count, menu selection, decor requirements, setup, venue location, and total estimated bill.
The booking date will not be reserved without advance payment.
Advance payments are handled according to our Refund & Cancellation Policy.
Final Payment
The remaining payment must be cleared according to the agreed terms before or on the event date.
For corporate events, school functions, weddings, large events, customized setups, or outdoor events, we may require full or partial balance payment before the event.
Any additional services requested during the event will be charged separately.
Quotation Validity
All quotations are based on the details provided by the client.
The quoted price may change if there is any change in:
- Guest count
- Menu selection
- Event date
- Venue location
- Serving style
- Decor requirements
- Crockery or equipment needs
- Staff requirements
- Transport or setup arrangements
A quotation is valid only for the time period mentioned in the quotation. If no validity period is mentioned, prices may change depending on market rates and availability.
Menu Finalization
The final menu must be confirmed before the agreed deadline.
Menu items may depend on seasonal availability, market rates, ingredient availability, and event requirements.
If any menu item becomes unavailable due to unavoidable reasons, Capital Caterers & Decorators may suggest a suitable replacement.
Any last-minute menu changes may include additional charges.
Guest Count Policy
The final guest count must be confirmed before the agreed deadline.
Billing will be based on the confirmed guest count or the actual served guest count, whichever is higher.
If guests increase on the event day, additional charges may apply depending on food availability and service capacity.
If guests decrease after confirmation, the agreed bill may still apply because food, staff, and setup arrangements are prepared in advance.
Minimum Guest Requirement
Some menu packages may have a minimum guest requirement.
Corporate hi-tea, buffet, BBQ, school functions, lunch boxes, and event packages may require a minimum guest count depending on the selected package.
Unless otherwise agreed, certain packages may require a minimum of 100 persons.
Event Timing
The client must provide accurate event timing, serving time, setup time, venue access time, and event schedule.
Delays caused by late venue access, traffic, parking issues, client-side changes, late guest arrival, weather, electricity failure, or venue restrictions may affect service timing.
Additional waiting time for staff, transport, setup, or equipment may be charged separately.
Venue Access & Permissions
The client is responsible for providing proper venue access, parking space, loading/unloading area, electricity, water access, and required permissions.
If the venue has restrictions related to catering, decor, BBQ, live cooking, gas cylinders, sound, lighting, furniture, or setup, the client must inform us before the event.
Capital Caterers & Decorators will not be responsible for delays or service issues caused by venue restrictions or missing permissions.
Food Quality & Hygiene
We aim to provide fresh, hygienic, and quality food according to the confirmed menu.
Food should be served and consumed within a suitable time after preparation or delivery.
We will not be responsible for food quality issues caused by delayed consumption, improper storage after delivery, external handling, venue conditions, or client-side delays.
For outdoor events, weather and venue conditions may affect food temperature and service timing.
Allergies & Dietary Requirements
The client must inform us in advance about any allergies, dietary restrictions, vegetarian requirements, spice preferences, or special food requirements.
Our kitchen may handle common allergens such as nuts, dairy, wheat, eggs, seafood, spices, and other ingredients.
We take reasonable care, but we cannot guarantee a completely allergen-free environment unless specifically agreed in writing.
Buffet Setup & Serving
Buffet setup, serving staff, crockery, cutlery, disposable items, live counters, serving stations, and table arrangements are provided only if included in the confirmed quotation.
Any service not mentioned in the quotation will be considered an add-on and may be charged separately.
The client must confirm the required service style before the event, such as:
- Buffet service
- Table service
- Packed meals
- Lunch boxes
- Disposable setup
- Crockery setup
- Live BBQ or live counters
Decor & Event Management Services
Decor, stage setup, seating arrangement, lighting, floral work, backdrop, furniture, sound, and other event management services will be provided only according to the confirmed quotation.
Any changes in theme, color, layout, stage design, seating plan, or decor style must be confirmed before the agreed deadline.
Last-minute changes may depend on availability and may include additional charges.
Crockery, Cutlery & Equipment
If crockery, cutlery, buffet dishes, chafing dishes, tables, chairs, linens, decor items, lights, or other equipment are provided, the client is responsible for their safe use at the venue.
Any loss, breakage, theft, or damage during the event may be charged to the client.
Equipment may be counted and inspected before and after the event.
Outdoor Events
For outdoor events, the client must consider weather, wind, rain, dust, sunlight, venue access, electricity, water, and safety arrangements.
We are not responsible for issues caused by weather, open-air conditions, insects, dust, power failure, water shortage, or venue-related limitations.
Tent, canopy, backup electricity, waterproof covering, and proper service area should be arranged where required.
Client Responsibilities
The client is responsible for providing correct event details, including:
- Event date
- Event time
- Venue location
- Guest count
- Menu selection
- Service requirements
- Decor requirements
- Venue restrictions
- Special instructions
Incorrect or incomplete information may affect service delivery.
Additional Charges
Additional charges may apply for:
- Extra guests
- Extra food
- Extra serving staff
- Extended event timing
- Additional transport
- Late-night service
- Last-minute menu changes
- Extra crockery or equipment
- Venue access issues
- Additional decor or setup requests
- Damage or loss of equipment
Any additional services requested during the event will be added to the final bill.
Cancellation & Postponement
Cancellations, date changes, and postponements are handled according to our Refund & Cancellation Policy.
If the client wants to postpone an event, we will try to adjust the booking to a new date, subject to availability.
A date change may include additional charges if new food arrangements, staff booking, transport, decor, or vendor costs are required.
Complaints & Service Issue
If the client has any concern regarding food, service, staff, setup, decor, or event management, it should be reported to our event supervisor or management during the event.
This allows us to review and resolve the issue immediately.
Complaints made after the event will be reviewed, but resolution may be limited if the issue was not reported at the time of service.
Photography & Portfolio Use
Capital Caterers & Decorators may take photos or videos of food, buffet setup, decor, seating, or event arrangements for portfolio and marketing purposes.
Client privacy will be respected.
Personal photos of guests will not be used without permission.
If the client does not want event photos or videos to be used, they should inform us before the event.
Third-Party Vendors
If third-party vendors are involved, such as venue management, sound system providers, photographers, decorators, electricians, florists, or other service providers, we are not responsible for their delays, mistakes, cancellations, or service issues unless they are directly arranged by Capital Caterers & Decorators.
Force Majeure
We will not be responsible for delays, interruptions, or inability to perform services due to situations beyond our control.
This may include:
- Extreme weather
- Road blockage
- Strikes
- Government restrictions
- Venue closure
- Power failure
- Accidents
- Natural disasters
- Security situations
- Traffic disruptions
- Any other unavoidable situation
In such cases, we will try to provide a reasonable solution depending on the situation.
Limitation of Responsibility
Capital Caterers & Decorators is responsible only for the services confirmed in the official quotation, invoice, or written agreement.
We are not responsible for venue management, electricity, water, parking, security, guest behavior, external vendors, or arrangements not included in our quotation.
Our responsibility is limited to the confirmed catering, decor, and event services agreed with the client.
Website Information
We try to keep our website information, menu details, service descriptions, and prices accurate and updated.
However, prices, packages, menu items, and service availability may change without prior notice due to market rates, seasonal availability, and business requirements.
Final pricing and service details will be confirmed through quotation or official communication.
Changes to Terms
Capital Caterers & Decorators may update these Terms & Conditions from time to time.
The terms applicable to a booking will be the terms available or shared at the time of booking confirmation.
